The European Association for International Education (EAIE) is the largest international higher education conference in Europe, bringing together professionals from more than 80 countries.

PRE-EVENT PLANNING

The Liverpool outing was the 28th conference with previous locations including Glasgow, Prague, Istanbul and Dublin. 

Several city organisations collaborated for five years to bring the event to Liverpool – the four universities, Liverpool Convention Bureau and ACC Liverpool – to secure the venue, hotel accommodation and social programme venues.

This was the first time that all three venues which make up ACC Liverpool’s campus – BT Convention Centre, Echo Arena and Exhibition Centre Liverpool – were used for a large scale conference. 

OBJECTIVES/ THE BRIEF

It was important that the whole city worked together to host the 5,200 delegates.  The destination’s Plus Liverpool initiative was implemented to ensure a collaborative approach – this is a range of value added services for international clients such as delegate transfers, welcomes and marketing support.  A full destination welcome was provided with Marketing Liverpool working closely with ACC Liverpool to provide city dressing and accommodation booking as well as support for the initial bid through the city’s ambassador programme, now known as Club Liverpool.

The event provided a platform to address key issues in international higher education across the world such as the refugee crisis and Brexit.

THE EXECUTION/ SOLUTION

The arena was used for the opening and plenary sessions and as the main lunch location for all participants, a 200+ stand exhibition took place throughout all three halls in the exhibition centre.  Meanwhile the convention centre was used for seminars and break-out sessions.

Full production was provided by the ACC Liverpool team, including two plenary spaces and 18 breakouts rooms.  Other services included speaker preview and the use of embedded voting across the site; an internet zone consisting of iPads for delegates to use; rigging for a selection of stands and the recording of footage for use post event. 

The venue’s caterers, Centerplate, provided Allergy Champions who were on hand at catering outlets to provide information for dietary requirements.

Fringe events took place across the city including an opening reception at Liverpool Cathedral.  It was the EAIE’s largest exhibition to date, made possible in part, thanks to the opening of Exhibition Centre Liverpool in 2015 which extended ACC Liverpool’s campus.

POST EVENT ANALYSIS/ THE RESULTS

Leonard Engel, Executive Director of the EAIE said: “Our delegates were delighted to find that Liverpool is a modern, welcoming and easy to travel in city. Everything that a visitor could want and need is in walking distance from ACC Liverpool.  At all times, the local organisers were friendly and helpful, making our event planning responsibilities a lot easier.”

Christine Batemen, head of international development at University of Liverpool, was a central member of the bid team and is a member of Club Liverpool, the city’s ambassador programme.  Commenting on the bid win in 2014, she said: “To be able to meet with peers from all over the world and share what we have on our doorstep is fantastic.  This would not have been possible without Exhibition Centre Liverpool and the expansion of ACC Liverpool."
